Constitution
1. Name
The name of the group shall be Dundee Data Meetup (referred to in this document as “the Meetup”).
2. Purpose and Aims
Dundee Data Meetup exists to:
- Bring together people interested in data in all its forms, including data science, analytics, engineering, open data, research, policy, and visualisation
- Provide an open, welcoming space for learning, discussion, and knowledge sharing
- Encourage collaboration and connection across sectors, including public, private, academic, and third sector
- Support responsible, ethical, and transparent uses of data
- Strengthen the local data community in Dundee and the surrounding area
The Meetup is community-led and operates on a not-for-profit basis.
3. Activities
To achieve its aims, the Meetup may:
- Organise regular in-person and/or online events, including talks, workshops, and informal discussions
- Invite speakers with a range of backgrounds, experience levels, and perspectives
- Facilitate networking and peer learning
- Share relevant resources, opportunities, and information
- Collaborate with other community groups or organisations where aims align
4. Attendance
- Dundee Data Meetup does not operate a formal membership
- Attendance at events is open to anyone with an interest in data
- Events may be free or ticketed, depending on venue or organisational requirements
- Attendance may be limited by venue capacity or logistical constraints
All attendees are expected to follow the Meetup’s Code of Conduct.
5. Meetings
- Dundee Data Meetup typically runs events on the last Tuesday of each month, except December
- Additional events may be organised as required
- Event format, location, and content may vary
6. Organisation and Decision Making
- The Meetup is organised and run by volunteers
- Organisers are responsible for planning events, managing communications, and maintaining the aims and values of the Meetup
- Decisions are made collaboratively by the organisers, aiming for consensus wherever possible
- New organisers may be invited or may volunteer to help, with agreement from existing organisers
The Meetup does not require formal officer roles, though responsibilities may be shared or delegated as needed.
7. Management meetings
The organisers shall meet regularly to oversee the affairs of the group.
These meetings will include discussion and decisions on:
- Delivery of the group’s activities and future planning
- Financial position, income and expenditure, and financial controls
- Relationships with sponsors, partners, and venue providers
The organisers may communicate between meetings by electronic or other means to manage day-to-day matters and maintain ongoing engagement with sponsors and venue providers.
8. Finance
- Dundee Data Meetup operates on a not-for-profit basis
- Any income or funding received will be used solely to support the aims and activities of the Meetup
- Funds may be used for venue hire, accessibility requirements, refreshments, speaker costs, or other reasonable expenses
- No funds or assets shall be distributed for personal profit
9. Amendments
- This constitution may be amended by agreement of the organisers
- Where practical, significant changes will be communicated publicly
10. Dissolution
- In the event that Dundee Data Meetup is dissolved, any remaining funds or assets shall be transferred to a not-for-profit organisation or community group with similar aims
- No assets shall be distributed to individuals
